Importing data
This topic presents how the import system works. To see a tutorial, see Tutorial: Importing products .
Import jobs allow you to import data files into NewStore Omnichannel Cloud. An import job can be full or partial:
Full import - Imports the data that you provide and deletes all the existing data from the database that was not found in the provided data.
Ensure you know what you are doing before you run a full import, as deletion of existing data may affect the current operations or functionalities of the platform. If you only want to delete specific products or categories, the easiest way is to set their
online_to
to a past date.Partial import - Imports the data that you provide. Nothing is deleted during the process.
NewStore does not support a
full import
for theavailabilities
entity. Full imports are only supported forproducts
,categories
, andprices
. If a full import job contains theavailabilities
entity, NewStore does not import theavailabilities
data. The import is marked asfailed
.
The import process​
To import data, you can do one of the following:
(Option 1) Create an import job for each data entity. For example, 1 import job each for products, for price books and for stock.
OR
(Option 2) Create an import job for all the JSON files after we have represented all the required data (products, price books, stock).
We recommend importing data in a single import job, via a single file that does not exceed 500 MB.
However, if an import job needs to be broken down into multiple imports, ensure that each new import job is run after a 5 minute interval.
If you choose to import data using Option 1, create import jobs for each data entity in this sequence:
Products > Stock > Pricebooks > Categories (optional)
The import process goes as follows:
Prepare the data to be imported:
- Format JSON according to JSON schemas.
- Zip JSON files.
- Upload files to a URI that NewStore can access.
Create import job using the Create import job method.
noteWhen importing data to multiple fulfillment locations in your business, use the
availabilities_store_ids
property to specify the ID of the stores or DCs where you want to import data.Start the import job using the Start import job method.
The following sections describe each step of the process.
Formatting the data​
In NewStore, products, categories, price books, distribution centers (DCs), and stock are created through the import process.
The data must be written in JSON, in the structure expected by NewStore.
Create your data files according to the following schema documented for each entity:
Duplicated entries
The import system does not support duplicated entries for the same entity (product, category, price, availability) in catalog, locale, or pricebook.
For example, the prices import zip file contains multiple files with prices for default
pricebook and storefront-en-us
catalog. These files also contain duplicated price entries for the same product ID with different price values.

In this scenario, the import system may pick a random value from the import file because the actual stored value is unknown. We strongly recommend you to remove the duplicated entries before sending the import zip file to avoid ambiguity in the value to be applied.

Import guidelines​
ImportantFor import updates, provide the full payload of the entity to update. If the payload only provides the field(s) to update, the entity will be unusable.
Ensure that you provide the correct value for the
fulfillment_node_id
property during the stock import. Deleting afulfillment_node_id
with a wrong value is currently not possible.This is an example of incorrect JSON that will break the item since it is incomplete:

Creating an import job​
Create an import job using the Create import job method.

ImportantIn the case of availability imports, do not run several of these with different revision numbers at the same time. Instead, you should run one import job which contains values from both imports.
The default limit for creating import jobs is
40
for all import jobs except for product imports, the limit for which is20
. If you reach the limit with current open import jobs, NewStore keeps them in thereceived
state and the API returns a429
error. We recommend you to either start your import jobs in thereceived
state or mark them as failed using the Set import job status to failed method. Keeping them in thereceived
orwaiting
state adds to the total number of import jobs in the queue.NewStore does not support a
full import

Checking the status​
Check the status of your import job:
- Using the Get import job method.
- Using NewStore Omnichannel Manager, via
Catalog
>Imports
>Catalog imports
. For more information, see Viewing status of catalog imports .
To retrieve all jobs, use the List import jobs method.
When an import job is finished, the system takes some time to process the data. Usually this means only a few minutes, but in rare cases, when the system is under pressure it can take 24-48 hours to make the imported information available.
Job statuses​
Depending on the job type, the import job goes through the following statuses:
Status | Description |

received | The import job has been created but has not started yet. This request returns a job ID that you can use to retrieve the status of the job at any time. |
waiting | The import job has been received, and is waiting for free capacity in the import scheduler. If the import job remains in waiting status for too long, contact the support team. |
processing | The import has started. |
cleaning | The import itself has been completed, and a cleanup task has been started and is in progress. The cleaning step deletes all data that was not found in the provided imported data, from the database. Partial imports have no cleaning status. |
finished | After a partial import's Note A finished job does not mean there were no errors. See Troubleshooting errors . |
failed | The request failed to be processed. See Troubleshooting errors . |
Adding multiple prices and currencies for the same product​
When you are using the same catalog in multiple locations, you may want to add the same product in multiple currencies and with different prices.
To set up a product with multiple prices or currencies:
Import the product into a catalog.
Import the separate price books for the different prices or currencies. You must have at least one price book called
default
to list the products in the NewStore platform and in Associate App.Configure the price book in every store that should use a non-default price book. Use the
catalog
andpricebook
properties of the Stores API.To make the store-specific price visible to a user in Associate App, assign that user to the respective store.
Hiding products and categories​
NewStore does not support removing products or categories from the platform once they have been imported. But these products and categories can be hidden so that this information is not available in Associate App.
To do so, perform a new import with the online_to
property set to a past date for these specific
products or categories.
Exporting product data​
NewStore allows you to export product data as a downloaded CSV file. To export product data for your business, use the Export products API.
Once downloaded, the CSV file is refreshed automatically every day, and the List products method can retrieve product data that is a maximum of a day old.
Use response header properties such as Last-Modified
or ETag
to verify attributes of the exported
product data file, such as the version or the timestamp when the file was last updated.

NewStore allows you to export pricebook data as a downloaded CSV file. To export pricebook data for your business, use the Export pricebook API.

Troubleshooting errors​
After the job is finished, check for potential errors using the List errors for import method.
A job with the finished
status can contain errors.
An import job is also split into chunks. You can retrieve information about these chunks using the Get import chunk method.
There can be different types of errors when importing data, depending on
the entity you are trying to import. To check why an import job has
failed, see the reason
property in the response payload. See Import error examples
for typical errors for an import job.
A stock import is marked as failed when:
- The zip file specified for the import is not valid.
- The JSON files inside the specified zip file do not match the definitions or properties defined in the schema.
- The specified zip file is too big or not accessible.
- Items in that import belong to an unknown fulfillment location.
- A fulfillment location is marked as a store when it is actually a DC, or vice-versa.
A specific item is marked as failed because it cannot be processed. This may be due to an invalid payload or because images are not available for this product. An import chunk is marked as failed when 50 or more items in the import chunk are failing.

Do import jobs run asynchronously?
Yes. NewStore Omnichannel Cloud supports running import jobs for multiple retailers asynchronously, as it improves system performance. For more information about running an import job, see the Running the import section in the tutorial .
What should I do if an import fails?
Use the Get import job method to see why the import job has failed. NewStore does not automatically retry a failed job. To retry a failed import job, use the Start import job method.
Does the import pipeline auto-scale during peak data import events like BFCM (Black Friday Cyber Monday)?
Yes, the import pipeline will auto-scale to fulfill import requests during peak times, when such requests peak because of BFCM or other reasons. Nevertheless we recommend to always import data at least 48 hours in advance to be sure everything is ready when the data is actually required.
Am I informed when my import job goes into processing
state for a long time?
No, only NewStore gets notified when your import job is stuck in the
processing
state for hours. We will investigate and resolve import issues by processing the next scheduled import job, or by finishing the current import job that is stuck.
What do I do when an import job is stuck in the received
state?
We recommend that you mark these jobs as failed using the Set import job status to failed method.
Why is my import job stuck in the waiting
state or taking longer than usual?
NewStore processes import jobs asynchronously. Based on the size of import, the processing time may vary. Import jobs don't run in parallel, but are queued up and run in a sequential order. For more information, see this tutorial .
Why is the imported product data not showing up after my import job is finished?
This can have multiple reasons. Ensure that:
- The product data was imported without errors
- The product master data is correct, if you wanted to import a non-master catalog
- The product has a price entry in the
default
pricebook for the specified catalog- The
online_from
time period for the product is correct- The
show_in_listing
attribute is set totrue
When all the above are correct and the product is still not showing up, the product data may not have been indexed yet. The indexing process is currently not part of the import process, and not visible in the import job status. Depending on the overall load, indexing can take several hours. To ensure that all your data is ready in time, we recommend to always import data at least 48 hours in advance.
